Gantt and resource charts are just the start
Plans stored against your projects contain mountains of invaluable information and PROJECT in a box can help you to leverage that. All task data from plans is held in a central project controls database alongside risks and issues and can be viewed in a range of different analysis at Personal, Project and Portfolio or Person/team levels, such as:
- All my tasks
- Overdue tasks for this Portfolio
- Unresourced tasks in the project
- Portfolio milestones with financial criteria
- Resource profile for me in this Portfolio
- …and many more, you decide.
The database has all the up to date task information you just select the data range (project, portfolio, by person etc.) and select filters and display options to get your preferred analysis. The combination of filters and display options is referred to as a ‘View’, as you would expect a preset package of useful views are provided and you can customise them or create your own and save them for reuse both in analysis and in reporting.
As well as Gantt and task list displays you can also produce Resource profiles and resource tables -
With all analysis once you have the view you want it is easy to export or print. Of course you can also include these nicely formatted outputs automatically into your project and portfolio reports at the touch of a button.
Data held on the tasks, durations, completions and resource allocations can also be accessed by the Notifications engine allowing rules to be set and the system will then check all rules against all tasks at a frequency and email you to advise when the conditions that interest you are met. For example telling people about tasks due to start or which should have finished but not shown as complete.
Portfolio and Programme plans
Simply add your plan as a file and list it as a planning source and the database will be automatically populated with the plans data each time a new version is checked in.
Uniquely this system works with Microsoft Project (.mpp) files, Planner (.spn) files and plans built using our free excel template supporting your large and small projects alike as well as providing you with an amazing level of capability without needing to purchase Microsoft Project. Simply load your .mpp file to your project and it will be visible to work on, report on and share with team members.
Simple administrator forms present a list of all the resource names extracted from your collection of plans and you simply assign the name from the plan to a PROJECT in a box user account. Once this is done the user can see their list of allocated tasks and receive notifications direct to their email account, helping keep them in touch with the project.
