Notifications are the perfect tool for keeping you in the picture about activities within your project.
Notification rules can be set up by higher level users such as Project Managers in the system and the resulting notification emails return be default to the person who set the rules up but can also be copied to other recipients as required.
Two main notification types can be set, firstly around document actions and these advise either when particular documents are up dated, when new documents are added to a part of the project or when Approval status changes. Secondly when a target date/time was set for something to be updated and no changes were detected in that time frame. These notification emails provide details of the changes made to the documents, who by, when and where in the project and what comments the user left. The email also contains a direct URL link to the document and the process location so the recipient can immediately examine further if required.
The other main notification type is around task information loaded from plans. These notification rules can be quite sophisticated and look for conditions associated with plan durations, start and end dates, % complete, names of allocated resources, text content of task, project etc. These notification rules are checked at a set frequency against the content of the plan database and each user who required one gets an email summarising their late tasks, or things due to start that day or any other rules they satisfy.
PMO and Admin support
This capability is invaluable for the busy PMO/PSO who can be informed automatically of significant updates, changes or delays on a large number of projects and then prioritise which ones to follow up first.
In addition the system administrator can designate a master notification recipient who can ask to be informed about any occurrences of specific actions in the system such as the addition of a new project or deletions of content from projects.
These tools help busy PMO/PSO and project administrators leverage their valuable resources.
When managing Approvals the owner can push information and reminders out to those involved using a similar approach, the link allows users to access the approval content immediately, perfect for senior users.
